About the role

This role provides high quality, consistent, operational support to the Registrar Services and Data Manager in administering key business processes related to student administration systems, student data and internal and external reporting. The role spans course and student lifecycle administration from course accreditation, through student admissions, enrolment, academic performance, to result entry, Board of Examiners preparation, and completions; as well as internal reporting via PowerBI and external reporting to TCSI and QILT.

While reporting to the Registrar Services and Data Manager, the Registrar Services and Data Officer maintains strong relationships with the Admissions, Timetabling and Enrolment Team, Student Centre, Academic Team and IT Team and supports them in delivering high quality administrative and service outputs to the broader student and staff community

Accountabilities:

  • Maintain core course and subject information in the college student administration systems within regulatory and governance guidelines, ensuring the highest level of accuracy
  • Provide high-quality, accurate and timely processing of all Registrar Services administration functions, complying with external regulatory requirements and College policies and procedures.  
  • Collaborate with Data Analytics Team to develop, enhance and quality check PowerBI reports on various student data views required by Registry, Student Centre, Academic Team 
  • Process TCSI reporting
  • Process data requests related to QILT surveys, and manage the communication final data files of results to ICMS stakeholders.
  • Prepare reports for BoE from DESE Cohort data reports and identify continuous improvement opportunities
  • Provide outstanding customer service to all stakeholders, including academic staff and all student services departments.

To apply for this role, you should have or be able to demonstrate:

  • A minimum undergraduate degree in Information Technology or related area (or equivalent in training and professional development)
  • Evidenced experience in business processes and information systems
  • Strong experience in higher education sector administration and systems, with experience of Oracle Peoplesoft desirable
  • Understanding of the student’s perspective and applies that lens to all solutions implemented
  • Evidenced history of identifying and proactively solving service related issues towards positive outcomes
  • A detail focused approach to all tasks
